Cognassist

Comparison

Cognassist vs Aptem Assess: screening tool or inclusion platform?

Both start with a cognitive assessment. Only one supports the full Assess-Plan-Do-Review cycle that Ofsted now grades you on.

The real question isn't which assessment costs less

If you're comparing Cognassist and Aptem Assess, you've probably been told they do the same thing. They don't.

Aptem Assess is an initial needs screening tool. It identifies learners who might need support. That's valuable — but it's only the first step.

Cognassist is an end-to-end personalised learning support platform. It starts with a validated cognitive assessment and then guides your organisation through planning support, delivering it, evidencing it, and reviewing it — at scale, for every learner.

The question isn't which assessment costs less per unit. It's whether you need a tool that stops at identification, or infrastructure that helps you meet the inclusion standard Ofsted now inspects you against.

How the two products compare — across the full inclusion cycle

Organised by the four stages of the Assess-Plan-Do-Review cycle. This is the framework Ofsted uses to judge your graduated approach to inclusion.

Addressing the three advantages head-on

The price argument — "Aptem Assess is cheaper"

Aptem Assess costs less per assessment because it is only an assessment.

Their own funding guide — co-authored with compliance expert David Lockhart-Hawkins — states explicitly that assessment tools are "screening and identification instruments" and "not the full solution."

Funding bodies require evidence of support planning, delivery, review, and in some cases actual costs incurred. None of that infrastructure exists in Aptem Assess.

When you factor in the operational cost of building those processes manually — or the financial risk of funding clawback from inadequate evidence — the cost comparison changes fundamentally.

Cognassist's pricing includes the platform infrastructure that makes assessment results actionable: personalised support plans, evidence recording, AI-powered quality checking, learner self-serve tools, and audit-ready exports.

A lower per-assessment price for a tool that covers only the first step of a four-step process is not a saving. It's a gap.

The mobile argument — "Aptem Assess works on mobile"

Mobile accessibility matters — especially for apprenticeship providers whose learners may not have regular access to a computer. But a cognitive assessment is not a casual activity, and convenience is not the only thing at stake.

A standardised score only means something against the conditions it was normed under. Our 26,301-learner normative dataset was collected under a consistent set of administration conditions, and that is what makes a standard score of 85 interpretable. Change the conditions and you have changed the thing you are comparing against.

That is why the question to ask any vendor is not which devices are supported, but whether **equivalence across those devices has been validated and published**. A phone is the clearest case: a smaller screen, touch input in place of a mouse and keyboard, and a device built around notifications and interruption. Those are real differences in how a timed task is performed, and the burden of showing they do not affect the result sits with whoever claims the results are the same.

Ofsted's inspection framework asks whether identification is "early and accurate." Speed and convenience that come at the expense of accuracy create risk — for the learner, for the provider's inspection outcome, and for the legal defensibility of support decisions.

Where device access is a genuine constraint, we work with you to make sure learners can complete the assessment under suitable conditions during induction — because getting the assessment right at the start protects every decision that follows.

The convenience argument — "We already use Aptem Apprentice"

If you already use Aptem's e-portfolio, adding their assessment feels like a low-friction choice. But this is where convenience deserves scrutiny.

Cognassist integrates with leading e-portfolio and LMS platforms through its public RESTful API and native integrations — including Aptem. Assessment data flows where it needs to.

More importantly: your e-portfolio manages programme delivery. Your inclusion platform manages learner support. These are fundamentally different systems serving different functions. Bundling both into one vendor means your inclusion capability is limited to whatever that vendor chooses to build — and in this case, that's a screening tool with no support planning, no evidence workflow, and no review cycle.

The new Ofsted inclusion judgement doesn't ask whether your systems are convenient. It asks whether your graduated approach to inclusion is consistent, evidence-based, and effective across every learner.

Why assessment accuracy isn't a technical detail

Ofsted's inspection framework expects "early and accurate" identification of learning needs. Both words matter. Early without accurate creates false confidence. Accurate without early misses the window for effective support.

What inaccuracy actually costs

  • False negative

A learner with genuine cognitive needs goes unsupported. Under the standalone inclusion judgement, that's exactly what inspectors look for.

  • False positive

Limited support resources are diverted away from learners who need them most.

  • Unreliable result

Legally indefensible. The Equality Act 2010, duty of care (Phelps v Hillingdon), and UK GDPR all apply to cognitive profiling decisions.

FAQ

Questions every provider should ask before procurement

  • What is the reliability coefficient of the assessment?
Cognassist: independently reviewed, r ≥ 0.8 — the BPS threshold for high-stakes decisions. Aptem Assess: states internal reliability criteria met but no coefficient published.
  • How large is the UK normative sample?
Cognassist: 26,301 FE learners. Aptem Assess: "hundreds of participants" in the trialling phase; approximately 10,000 total assessments taken.
  • Is the assessment independently validated by PATOSS?
Cognassist: yes — PATOSS validated, JCQ compliant. Aptem Assess: no.
  • Are there named, independent clinical experts overseeing the assessment?
Cognassist: four named experts including Prof. John Crawford (h-index >80) and the Chair of the BPS Division of Neuropsychology. Aptem Assess: not publicly disclosed.
  • Has cross-device equivalence been validated and published?
Cognassist: our published evidence was established under a consistent set of administration conditions, and we scope our claims to those conditions. Aptem Assess: claims mobile, tablet and desktop support; we found no published equivalence study.
  • What are the results accepted for?
Cognassist: accepted by 20+ awarding organisations for EPA reasonable adjustments. Aptem Assess: claims DfE acceptance at assurance review.

Assessment is step one. What about steps two, three, and four?

Aptem's own published guidance states that assessment tools provide identification insights, but funding requires evidence of planning, actual support activities, review, and costs over time. Cognassist is the only platform in the sector that covers every stage.
