Two ways in, and it matters which one you are on
The systems you already run record that support happened. They cannot identify the learners who never disclose and are never referred. Cognassist assesses the whole cohort at enrolment, coaches the quality of each support record at the point of entry rather than auditing it afterwards, and writes the result back into the record your staff already use. It should never become a second system anyone has to visit.
You run OneFile, Bud, Aptem or the OneAdvanced e-portfolio
A native two-way connector already exists. Turning it on is configuration, not development: create the learner, send the invitation, track status, and get the result back where your staff already work.
- Three steps: request credentials from Cognassist, ask your e-portfolio partner to enable the integration for your tenant, then use it in the normal workflow
- Nothing to build. That is not the same as no setup, and the enablement step is a conversation with your e-portfolio partner
- Check your contract first: Bud is a Premium tier and Aptem is a paid add-on, so a connector is not automatically included
You run anything else, which is most colleges
Anything without a packaged connector goes through our public application programming interface (API). There is nothing to buy from us for it: what it needs is someone on your side who can read our developer documentation and build against it.
- Every packaged connector is an apprenticeship or work-based learning platform, so a general further education management information system (MIS) goes the API route
- Single sign-on, secure file transfer for bulk data and Microsoft Teams are configuration, not development
- It is someone's time, not a budget line. Tell us early and it goes into the plan; found mid-term, it is what stalls a rollout

There are no week numbers on this page on purpose: the pace of a Cognassist implementation is set by your enrolment calendar and how many staff need training, not by us. What does not change is the five decisions it turns on, in the order you meet them.
Where does the assessment sit in enrolment?
The one decision that sets your coverage. Make it a standard step in onboarding and the whole cohort is assessed, including the learners who never disclose and are never referred. Leave it as an optional referral and you reach the learners who ask. Only you can make this call.

Settle it before you buy, not at kick-off. A native connector is configuration. Anything else means someone technical on your side building against our documented API, which costs you their time rather than a fee.

Training is role-specific, so the answer is never "everyone does the same course". Decide which roles need depth, and name the champions who will coach their colleagues and sample the records.

Less than most leaders expect. The assessment is computer-led and self-guided, so nobody sits with each learner and no specialist is in the room. It runs in a modern desktop browser, not on a phone or tablet, so device access is worth planning. Learners who join late complete it afterwards.

Large groups generally start where they can see the result rather than switching everything on at once, then widen. Bedford College Group ran four curriculum areas across three colleges before deciding to go provision-wide. The sequence is yours to set, and your intake calendar sets the pace.
The sequence follows your intakes and your training capacity, and the decision to widen is taken on evidence.
Staff
Who gets trained, and how deep it goes
No specialist hours are needed to administer or interpret the assessment, so identification is never rationed by specialist capacity. Your additional learning support (ALS) and special educational needs and disabilities (SEND) specialists reach every learner, not only the ones who reach their door. Training is delivered inside the platform through Cognassist Training: a course library plus a drawer that opens in context, taken when a timetable allows rather than at a session staff are released for.
Tutors, at two depths
Primary and secondary tracks- Personal tutors take the primary track, structured across assess, plan, do and review
- They own routine support for the learners on their caseload, which is the point: it is not referred on
- Subject tutors, who teach a learner but do not own their plan, take a shorter secondary track
- The whole library stays open to both: the role-based recommendation is advice, never a gate
- Taken in context, in the platform, without coming off timetable
Cognassist champion
The broadest track- Six courses, the widest of the four tracks
- Peer coaching and quality assurance: sampling records and supporting colleagues
- This is the layer that makes adoption stick
- Administrators and tutor managers can see which recommended courses have been completed
ALS and SEND specialist
Deepest users- Typically take both the champion and the primary tutor tracks
- Consulted by default on the most complex cases: education, health and care plan (EHCP) alignment, exam access arrangements, referrals for formal assessment
- Amplified, never replaced. They work in the same platform every tutor uses, so every learner stays in one place

Bedford College Group ran the full assess, plan, do, review cycle across four curriculum areas and three colleges before deciding to roll out to every learner from September 2026. That is what starting where you can see the result looks like at group scale. Honesty about your stack, early
Tell us what you run before you buy. If it is the API route, that goes into the plan from the start, instead of surfacing halfway through the first term.

How long does a Cognassist implementation take?
There is no honest single number, and we will not invent one. The pace is set by two things you control: your enrolment calendar, because the assessment belongs in onboarding, and how many staff need training. The shape is consistent though. They complete the assessment afterwards. It is self-guided and runs in a modern desktop browser, so a late starter needs an invitation and access to a computer, not a scheduled session. Plan for late joiners the same way you already plan for late enrolments.Do we need a specialist to run this?
Not to run the assessment or to produce the first support plan. The platform does the heavy lifting: the assessment is automated, the plan is drafted for the tutor to personalise with the learner, and record quality is coached as it is written. Your ALS and SEND specialists stay essential and are typically the deepest users of the platform, consulted on the most complex cases while their reach extends across every learner.What happens if the rollout stalls?
It stalls for one of three reasons: nobody owns it with the authority to change enrolment, the enrolment decision was never taken, or integration work was discovered late. That is why we ask about all three before you commit rather than after.
